Careers: Hollowcore Factory Administrator

We are in need of a full time JUNIOR ADMINISTRATIVE person at our group of companies outside Durbanville. You will be working in the precast factory and report to the Factory Foreman.  We expect the possible candidate to be able to:

Key Responsibilities:

Administration

  • Manage & maintain all admin for the factory plant related to the management & smooth operation of the factory (Printing, paperwork, procedures, capturing of incidents, accidents, requesting quotes, following up on deliveries etc.)
  • Print & prepare jobs for casting
  • Assistance with admin related to production planning

 

Meetings & Employees

  • Prepare attendance lists, toolbox talks, agendas & minutes of meetings – scan and send to the relevant manager / save to specified folders
  • Manage all admin related to staff attendance, absenteeism, clocking, timekeeping records (e.g. record absentees at start of every shift, collect leave and sick notes etc.)
  • Report daily absenteeism to management
  • Load employees on clocking system and communicate with finance department when issues with clocking arise

 

Communication

  • Manage all communication between the factory and the office (which may include emails, calls, reports, etc.)
  • Liaise with the design office and the installation office regarding delays, returns, etc.

 

Data Capturing & Reports

  • Collect all factory data from the relevant staff (Lane prepping, casting, batching, waste records, quality records, replacements, incidents etc.)
  • Capture all data in the related reports & spreadsheets
  • Conduct monthly stock take (panels & waste)
  • Compile reports for weekly divisional meetings (graphs in power point)
  • Compile reports for monthly management meetings (graphs in power point)

Minimum Requirements:

  • Good communication skills
  • Grade 12
  • High level of numeracy and literacy
  • Excellent interpersonal skills
  • Accuracy
  • Own transport
